What we collect
SpeakerFlow Hub processes account details, club information, member lists, speaker and contact records, communications, uploaded files, and scheduling details that clubs enter. This can include contact information, biographies, dietary or accessibility notes, and free-form relationship notes. To protect the public contact form from abuse, we create a non-reversible, short-lived security identifier from the submitting device’s network address; it is retained for no more than one hour.
How we use it
We use this information to provide speaker management, scheduling, club communications, leadership handoff, support, security, and service improvement. Clubs are responsible for ensuring they have an appropriate basis to enter and use information about speakers, members, and contacts.
Service providers and AI
We use service providers to operate the product, including cloud hosting/database infrastructure, email delivery, file storage, and AI/OCR services. When a user asks the product to scan a business card, generate content, or parse a directory, the submitted material may be processed by those providers solely to provide that requested feature. We do not sell personal information.
Retention and exports
Club data is retained while the club maintains its account, unless deletion is requested or retention is required by law. Authorized club representatives may request an export of their club data or account deletion through support.
Sharing and security
We share information only with the relevant club, authorized users, and providers needed to run the service, or when legally required. We use access controls and technical safeguards designed to protect information; no system can guarantee absolute security.
Your choices
You may ask the club that entered your information to correct or delete it. Authorized club representatives may also contact support for access, export, correction, or deletion requests. We may need to verify the request before acting on it.
Children
SpeakerFlow Hub is not directed to children and is not intended for people under 13.
Changes and contact
We may update this policy as the product changes. The effective date above will be updated when material changes are made. For privacy requests, contact the club that uses SpeakerFlow Hub or your SpeakerFlow Hub support contact.
